Cancellation Policy

At Cycle-Logical Tours, we’re committed to creating unforgettable experiences from the moment you book to the final pedal. Because every tour requires advance preparation — including equipment readiness, safety checks, guide coordination, route planning, and limited tour capacity — all bookings are subject to the following cancellation, rebooking, and no-show policy.

By booking a tour with Cycle-Logical Tours, guests acknowledge and agree to these terms.

Standard Cancellation Policy

All approved refunds are subject to a non-refundable booking and processing fee equal to 10% of the booking total or $10 per rider, whichever is greater. This fee helps cover payment processing costs, administrative time, and tour preparation expenses incurred once a booking is made.

7+ Days Before Your Tour

Cancellations made 7 or more days before the scheduled tour may be eligible for a refund, minus the non-refundable booking and processing fee.

Guests may also choose to receive the remaining booking value as a transferable gift card or tour credit to use at a later date.

3–6 Days Before Your Tour

Cancellations made between 3 and 6 days before the scheduled tour are not eligible for a cash refund.

However, guests may request one of the following:

A one-time rebooking based on availability
A transferable gift card for future use
A tour credit that may be used by the original guest or shared with family or friends

Within 72 Hours of Your Tour

Cancellations made within 72 hours of the scheduled tour are non-refundable.

Rebooking or gift card requests within this window may only be considered if the guest contacts Cycle-Logical Tours before the scheduled tour start time.

Approved rebooking requests within 72 hours are subject to availability and are not guaranteed.

Rebooking & Gift Card Policy

We understand that plans can change. When possible, we are happy to help guests preserve the value of their booking through a future tour credit or transferable gift card.

Rebooking credits and gift cards may be used toward any available Cycle-Logical Tours experience during the current or future tour season.

Tour credits and gift cards may be shared with family or friends.

Rebooking is subject to tour availability, guide availability, and seasonal scheduling.

Each booking may be rescheduled one time when approved by Cycle-Logical Tours. Additional changes may require a new booking.

No-Call / No-Show Policy

Guests who do not arrive for their scheduled tour and do not contact Cycle-Logical Tours before the tour start time will be considered a no-call / no-show.

No-call / no-show bookings are non-refundable and are not eligible for rebooking, gift cards, or future tour credit.

This includes guests who arrive after the tour has departed, arrive at the wrong location, or fail to notify Cycle-Logical Tours prior to the scheduled start time.

Late Arrival Policy

Guests are responsible for arriving on time and at the correct starting location.

Tours may begin promptly at the scheduled time. Late arrivals may not be able to join the tour once it has started.

Late arrivals are not eligible for refunds. Rebooking may be considered only if the guest contacts Cycle-Logical Tours before the scheduled tour start time.

Weather-Related Policy

Tours will proceed in light rain and safe weather conditions.

Cycle-Logical Tours reserves the right to cancel, delay, or reschedule a tour due to severe weather, including but not limited to lightning, thunderstorms, high winds, unsafe road conditions, or other conditions determined unsafe by our team.

If Cycle-Logical Tours cancels a tour due to severe weather, guests will receive the option to rebook, receive a transferable tour credit, or receive a refund minus the non-refundable booking and processing fee.

If a guest chooses not to participate due to weather conditions that do not result in an official cancellation by Cycle-Logical Tours, the standard cancellation policy applies.

Weather-related decisions are made by Cycle-Logical Tours. Forecasted rain, guest discomfort, travel changes, or personal preference does not automatically qualify for a refund.

Bring Your Own E-Bike Bookings

All cancellation, rebooking, weather, late arrival, and no-show terms apply to Bring Your Own E-Bike riders.

Guests bringing their own e-bike are responsible for ensuring their bike is safe, charged, properly maintained, and in good working condition prior to the tour.

If a guest is unable to participate due to a mechanical issue, battery issue, equipment failure, or unsafe bike condition, the booking will be treated as a late cancellation or no-show and will not be refunded.

Rebooking or gift card eligibility will depend on whether the guest contacted Cycle-Logical Tours prior to the scheduled tour start time.

Private & Group Bookings

Private, custom, and group tour bookings require 7 or more days’ notice for cancellation or major changes.

Cancellations made 7 or more days before the tour may be eligible for a refund, minus the non-refundable booking and processing fee.

Cancellations made within 7 days of a private or group booking are non-refundable, but may be eligible for a one-time rebooking or transferable gift card if Cycle-Logical Tours is contacted before the scheduled tour time.

No-call / no-show private or group bookings are not eligible for refunds, rebooking, or gift cards.

Tour Starting Locations

Guests are responsible for confirming the correct tour location prior to arrival.

Oak Island Tours:
Oak Island Nature Center
5202 E Yacht Dr
Oak Island, NC 28465

Southport Tours:
Brunswick Street Boat Launch
603 W. West Street
Southport, NC 28461

Arriving at the wrong location, failing to confirm the correct starting point, or being unable to locate the meeting area does not qualify for a refund.

If guests are unsure of their tour location, they must contact Cycle-Logical Tours before the tour to confirm the meeting point.

How to Cancel, Rebook, or Request a Gift Card

To request a cancellation, rebooking, gift card, or tour credit, please email cyclelogicaltours@gmail.com as soon as possible with your name, booking details, tour date, and requested action.

Requests are not considered received until Cycle-Logical Tours has been contacted directly by email.

We will respond as soon as possible to confirm whether your request is eligible under this policy.

Effective for all tours booked on or after 4/29/2026. By booking, guests agree to this cancellation, rebooking, refund, weather, and no-show policy.
